Pregnancy Acknowledgement Letter

When an employer has been informed in writing by an employee of a pregnancy, the employer has a legal obligation under R16 of the Management of Health and Safety at Work Regulations 1999 to take all reasonable precautions to ensure the safety of the expectant or new mother and baby whilst in their employment.

The pregnancy acknowledgement letter template confirms that the employer is now aware of the pregnancy and asks the mother to discuss the details of their work with a health care professional to understand if any changes are required to their work activities, including any immediate reasonable adjustments. This information should then be used in conjunction with the New Mother or Expectant Mother Risk Assessment form and completed as soon as practicable.
